Timesheets & check-in

Attendance is where you log the time you spend on a job. Field workers check in on arrival, check out when they leave, and submit their time; managers review and approve it. Here's how the whole flow works.

How the module is laid out​

Attendance is one destination with three tabs. Which tabs you see depends on your role.

  • My Time β€” your clock state and today's records. Everyone sees this.
  • Daily Timesheet β€” a filterable list of records across any date range. Everyone sees this.
  • Approvals β€” the review queue for submitted records. Visible only to approver roles (Operations Manager, Administrator, Company Owner) β€” hidden, not greyed out, for everyone else.

Two status labels on every record​

Every record carries two independent labels, shown separately β€” they're never merged.

  • Operational status β€” is the clock running? In progress (checked in, not out) or Complete (checked out, duration recorded). Jobyo always computes this for you; you never set it.
  • Review status β€” where the record sits in approval: Draft, Submitted, Approved, or Rejected.

So a record might read "Complete Β· Submitted" (clock stopped, awaiting sign-off) or "Complete Β· Rejected" (sent back for a fix).

Check in and check out​

  1. Check in

    Open Attendance β€” it lands on My Time. Tap Check in in the dock. Optionally link a Work Order (this ties your time to the right job and auto-fills its site, task, project, and equipment lineage) and add a note. Tap Start time. The dock switches to Check out with a live elapsed counter β€” your record is now In progress Β· Draft.

  2. Check out

    When you finish the job, tap Check out in the dock. The panel shows your check-in time and elapsed duration; add a closing note if needed and tap End time. The record becomes Complete Β· Draft with its duration calculated, and appears as a card in today's timeline.

  3. Start the next job

    After checking out, the dock offers Check in again. Each check-in starts a separate record β€” one per job β€” with its own Work Order and its own independent approval. Earlier records are unaffected.

  4. Submit for approval

    When a record is complete, tap Submit to send it to a manager. A confirmation panel summarises the date, hours, and Work Order. Once submitted, the record goes read-only while it's reviewed. To send a whole day at once, use Submit all in the Daily Timesheet β€” each record is sent individually, and one failing doesn't stop the rest.

One clock at a time

You can't start a new period while one is still open. If you only see Check out and no Check in, you have an in-progress record β€” check out of it before starting the next job.

Location is advisory, not a gate

If your company requires location, the app may ask for permission at check-in and warn you if you're further from the worksite than the company guideline. This is a warning on your device only β€” you can still check in, and the server accepts check-ins regardless of distance.

Fix a record before it's approved​

  1. Edit a draft or rejected record

    Open the record and tap Edit. You can adjust check-in / check-out times, transport (distance and unit), overtime (if your company tracks it), notes, and the equipment pin. Saving recalculates the duration. Only Draft and Rejected records are editable.

  2. Recall a submission

    Submitted the wrong record? Open it and tap Recall (Undo submission) to pull it back to Draft, then edit and resubmit. Only the person who created the record can recall it, and only while it's still Submitted.

  3. Fix a rejected record

    A rejected record shows the manager's reason. Tap Fix & resubmit, correct the flagged fields, Save, then Resubmit. The record returns to Submitted and the alert clears.

Equipment pin must belong to the work order

If a record is linked to a Work Order, you can pin it to a specific piece of equipment β€” but only one that's already listed on that Work Order. Anything else is rejected.

Review and approve time (approvers)​

The Approvals tab is your review queue. It's open to Operations Managers, Administrators, and Company Owners. You see every record within your access scope, not just your own β€” and you can approve your own time if you also log hours.

  1. Open the queue

    Go to Attendance β†’ Approvals. Each card shows the worker, date, time range, duration, and Work Order or worksite. Tap a card to open the detail (it opens beside the list on tablet and desktop).

  2. Approve or reject

    Tap Approve to accept β€” the record locks as Approved. To send it back, tap Reject, type a reason (required β€” Reject stays disabled until you enter one), and confirm. The worker sees your reason with a Fix & resubmit prompt.

  3. Bulk approve or lock

    Select several records and use the bulk action bar. Approve clears Submitted records in one pass. Lock force-approves Draft or Rejected records straight to Approved β€” the right move for time a worker forgot to submit. Records are processed one at a time; if one fails, it's flagged and the rest continue.

  4. Log time for another worker

    From the Approvals or Daily Timesheet toolbar, use Log time for…. Pick the worker (defaults to you), fill in check-in β€” and optionally check-out β€” plus Work Order, transport, overtime, and notes, then Save. The record starts in Draft. Once saved, the worker it belongs to can't be changed; delete and recreate if you picked the wrong person.

Reopen is admin-scope only

Reopening an Approved record back to Draft requires company-scope approval β€” Operations Manager, Administrator, or Company Owner. Lead Technicians can create and edit time on others' behalf but can't approve or reopen. If the record's Work Order is locked, only a company admin can reopen it.

Browse, filter, and export​

From Daily Timesheet, step through days or a date range and filter by worker or team, Work Order, worksite, project, operational status, and review status; search by worker name, Work Order number, or worksite. Managers get a table (day) or week-grid view on desktop. Use Export to generate a PDF of the visible period on your device β€” handy for payroll or billing. Read-only roles (Project Manager, Finance Manager, Read-Only) can view everything here but take no actions.

Not in the app yet

Bulk CSV import of historical time records is supported on the back-end but isn't exposed in the app. Ask an administrator if you need to import records in bulk.

FAQ​
